The fairest way to compare software isn't a checklist of ticks and crosses. A grid hides where your time actually goes. So instead, let's walk one used-car deal all the way through, from the first enquiry to the filed paperwork, first on a regular CRM like Mazu or Zoho, then on Bill My Car. (Want the tick-and-cross grid anyway? It's in Bill My Car vs generic billing software. For the underlying reason a CRM is the wrong shape for a dealership, see why a CRM can't fit a car deal.)

1. The enquiry

On a generic CRM: this part's easy. Create the contact, add your notes, set a reminder. This is exactly what Zoho and the like are good at.

On Bill My Car: the lead pipeline does the same, with one difference that matters: the lead links to the actual car in your stock, and its budget counts toward your pipeline value.

So it's pretty even, right up until the buyer wants a specific car.

2. Billing the sale

On a generic CRM: you get an invoice with an "item" line. There's no field for the registration, chassis or engine number, so they go in the description box. GST lands on the full price, because the tool doesn't know Rule 32(5) margin billing, from the CGST Rules, 2017, even exists. This is where a lot of dealers give up and hand-write the real bill.

On Bill My Car: the sale invoice is built around the car: registration, chassis, engine, odometer, owner serial, margin-scheme GST worked out for you, GST or non-GST depending on how you're registered.

3. The paperwork

On a generic CRM: this step just doesn't exist. The sale letter, delivery note, Form 29 and Form 30 (both under the Central Motor Vehicles Rules, 1989, here's the official Form 30) and any NOC or loan forms are Word templates, photocopies and handwriting, done off to the side.

On Bill My Car: the same entry that made the invoice makes the whole set, filled in, in seconds. This one step is usually the reason dealers switch.

4. Updating stock

On a generic CRM: the inventory module counts quantities of a SKU. But you don't have twelve of one product; you have twelve different cars, each with its own cost, status and ageing clock.

On Bill My Car: the car flips from available to sold as you close the deal, and its days-in-stock counter stops. Your stock value and ageing stay honest without a second register.

5. Filing the documents

On a generic CRM: the PDFs scatter, into downloads folders, email threads and the vendor's storage, up to whatever your plan allows.

On Bill My Car: every PDF saves straight to your own Google Drive, sorted by deal, unlimited and yours, as we cover in document management. Three years later, "show me everything for MH12 AB 1234" takes about thirty seconds, on your phone or your desktop.

The scorecard

Generic CRMs are good software built for every kind of business, which is exactly why they can't be built for yours. Bill My Car covers the whole dealership day, for used and new car dealers, with a few minutes of setup and forms that fill themselves. Frequently asked questions

Can Zoho or Mazu handle car dealership operations?

They handle the generic parts: contacts, invoices, payments, reports. The dealership-specific operations, margin-scheme GST billing, RTO form generation, vehicle stock with ageing, and per-deal document archiving, are outside their design, so dealers end up running Word templates and paper registers alongside the CRM.

What does 'dealership operations' actually mean day to day?

One deal touches five operations: capture and follow the lead, bill the sale with correct GST treatment, generate the sale letter, delivery note and RTO transfer forms, flip the car from available to sold in stock, and file every document where it can be found years later. Software fits a dealership only if it covers all five from one entry.

Is Bill My Car a CRM?

It includes the CRM part that dealerships need, a lead pipeline with stages, budgets and conversion stats, but it is broader: billing, RTO documents, inventory and document storage built around the vehicle as the central record.

Do I lose my records if I switch from Bill My Car later?

No. Documents sync to your own Google Drive as they are generated, so your archive lives in your account, not ours, and remains fully yours whatever software you use in the future.
