What to keep, per deal
- The invoice (GST or non-GST)

- Buyer's ID and address proof, RC copy, insurance and PUC copies
- Token advance receipt, if the deal started with a booking
Retention: 72 months minimum under GST, and longer in practice, because the sale letter is what answers a challan or an ownership claim on a car you sold back in 2021.

Which documents should a dealership keep per sale?
The invoice, sale letter, delivery note or buyer undertaking, copies of Form 29 and 30 as filed, the buyer's ID proof, RC copies, insurance and PUC copies, and any token advance receipt. Together they reconstruct the deal if a dispute or notice arrives years later.
How long must sale records be kept?
GST law requires records for at least 72 months from the relevant annual return. Practically, keep the sale letter and transfer proofs longer: ownership disputes and old challans surface well beyond six years, and the paper is your defence.
