Privacy Policy
Last updated: June 2026
Welcome to Bill My Car ("we", "our", "us"), accessible at https://billmycar.in. Bill My Car is an invoicing and documentation platform designed to help pre-owned car dealers and private sellers generate invoices and sale letters for used vehicle transactions.
Your privacy is important to us. This Privacy Policy explains what information we collect, how we use it, how we store it, and your rights related to your data.
1. Information We Collect
We collect information only to the extent necessary to provide our services effectively.
1.1 User / Dealer Onboarding Information
After login, during dealer or private seller onboarding, the following information is required:
- Business / dealership name
- Business address
- GST Number (mandatory for dealers, optional where applicable)
- PAN Number
- Contact number
- Email address (optional)
This information is required to correctly generate invoices and sale letters and to identify the issuing seller.
1.2 Customer Information (Entered by Users)
While creating invoices or sale letters, users are required to enter customer-related information such as:
- Customer name
- Contact number
- Address
- Aadhaar Number (mandatory)
- GST Number (optional, if applicable)
Customer data is entered manually by users for lawful documentation and invoicing purposes.
1.3 Vehicle & RC Information
For invoice generation, users are required to enter and upload:
- Vehicle details (make, model, year, registration number, chassis number, engine number, etc.)
- RC (Registration Certificate) details and RC photographs
These details are mandatory for creating valid vehicle sale invoices and records.
1.4 Google Sign-In & Google Drive
When you sign in using "Continue with Google", we receive your name and email address from Google. This is only used to create and identify your account — nothing else.
When you upload documents (invoices, RC copies, sale papers), those files are saved directly into your own Google Drive — inside a folder called "Bill My Car" that we create for you. Your documents are stored in your Google account, not on our servers.
- We can only see files that Bill My Car itself uploads. We cannot see, open, or touch any of your other Google Drive files — your photos, personal documents, or anything else.
- We save a secure key on our end so you don't have to approve Google access every single time you upload a file. This key is only used for Drive uploads and is never shared with anyone.
1.5 Invoice & Financial Data
- Invoice numbers
- Sale value
- GST percentage and tax calculations (editable/customisable by the user)
Bill My Car does not collect or store customer payment, card, or banking information.
2. How We Use the Information
We use the collected data strictly for the following purposes:
- Generating invoices and sale letters
- Maintaining invoice history and records for users
- Calculating GST and displaying accurate tax information
- Allowing users to download, print, or sign invoices and sale letters
- Improving application performance, UI/UX, and reliability
- Providing customer support
We do not sell, rent, or trade your personal or business data to third parties.
3. Legal Nature of Documents
Invoices and sale letters generated using Bill My Car are system-generated documents based on information provided by users.
- Users are responsible for verifying the accuracy of all details before printing or signing.
- Legal validity depends on applicable local laws, correct information, proper stamping (if required), and signatures of the involved parties.
- Bill My Car does not provide legal advice and does not guarantee legal enforceability of documents.
4. Data Storage & Security
4.1 Your Account Data
Your dealership profile, invoice records, customer details, and app settings are stored securely in our database. Only you can access your own data — other users cannot see it. All data is transmitted over secure, encrypted connections.
4.2 Your Uploaded Documents
When you upload files — such as RC photos, invoice attachments, or sale documents — they are saved directly into your personal Google Drive account, inside a folder called "Bill My Car".
This means your files are in your hands, not ours. You can open Google Drive on your phone or computer at any time and see exactly what Bill My Car has uploaded. You can download or delete those files directly from your Google Drive whenever you want.
On our side, we only save a reference (like a shortcut) pointing to each file — we do not store the file itself. The actual file always stays in your Google account.
If you ever want to stop Bill My Car from uploading to your Drive, you can remove our access from your Google Account settings. Your existing files will remain in your Drive — removing our access only stops future uploads.
Access to dealership logo headers, payment QR codes, and RC details of individual car sales is restricted strictly based on correct user access roles.
Users are responsible for maintaining the confidentiality of their login credentials. We strongly advise users to:
- Use strong and unique passwords
- Avoid sharing login credentials with unauthorized persons
Bill My Car is not responsible for data loss or unauthorized access caused due to weak passwords or user negligence.
However, no method of electronic storage or transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
In the event of any data breach, leak, or unauthorized access arising due to vulnerabilities, failures, or security incidents at third-party service providers such as hosting providers, database providers, cloud infrastructure vendors, or other integrated services, Bill My Car and its owner shall not be held responsible or liable.
Users acknowledge that third-party infrastructure providers operate under their own security standards and policies, and Bill My Car acts only as a technology platform relying on such services for operations.
5. Data Retention
- Invoice, vehicle, and RC records are stored to allow users to access past invoices.
- Users may request deletion of their account and associated data.
- Some records may be retained if required by law or for legitimate business purposes (such as audit or compliance).
6. User Responsibilities
Users (dealers or private sellers) confirm that:
- They have the right and consent to upload customer and vehicle information
- The data entered is accurate and lawful
- They are responsible for complying with applicable data protection and vehicle sale regulations
Bill My Car acts as a technology platform only.
7. Cookies & Analytics

- Understand usage patterns
- Improve application performance
These do not collect sensitive personal data.
