Document Storage
Car Deal Documents in Google Drive: Why Cloud Storage Beats a Filing Cabinet
A small used-car dealer doing 15 sales/month generates 90-120 documents monthly. Physical filing is fragile, unsearchable, and inaccessible remotely. Google Drive via Bill My Car solves this permanently.
Documents to store per sale
- Invoice (keep 72 months minimum under GST law)
- Sale letter (keep indefinitely)
- Form 29 copy
- Form 30 copy
- Delivery note (5 years minimum)
- Terms and conditions
Why Google Drive works for car dealers
- Search by text: Drive indexes PDF content. Search by buyer name, registration number, or chassis number.
- Access from anywhere: showroom, RTO, home - any device.
- 15 GB free: enough for 70,000+ documents at typical PDF sizes.
- Instant sharing with buyers, banks, accountants.
- You own the files - no vendor lock-in.
How Bill My Car saves to Drive
- Sign in with Google (OAuth - secure and scope-limited)
- Bill My Car creates a "Bill My Car" folder in your Drive
- Each document saves as a PDF named with invoice number and buyer name
- Files accessible and moveable from Drive at any time
Privacy
Bill My Car can only access files it creates - not your other Drive files. This is enforced at the Google API level. If you revoke access, your documents remain in your Drive unchanged.
GST audit readiness
Search the invoice number or buyer name, open the file, forward to your CA in under a minute - rather than half a day of manual searching.

Does Bill My Car store my documents on its own servers?
No. Bill My Car uses Google OAuth to save documents directly into your own Google Drive account. Bill My Car does not host or store your PDFs. You own the files and they remain in your Google account. Bill My Car never has access to documents outside the specific folder it creates.
How long should a used-car dealer keep sale records?
Under GST law, records must be maintained for at least 72 months (6 years) from the date of filing the relevant annual return. For RTO-related disputes, the sale letter and transfer forms can be relevant for years after the sale. Storing documents in Google Drive gives you permanent, searchable access without physical storage concerns.
Can I access my car sale documents from my phone?
Yes. Documents saved to Google Drive are accessible from any device via the Google Drive app or drive.google.com. Bill My Car also lets you download PDFs directly in the browser on any device, including mobile.
What happens to my documents if I stop using Bill My Car?
Your documents are in your own Google Drive. They remain there indefinitely regardless of whether you continue using Bill My Car. You have full ownership and control.
