Token Advance Receipt for a Used Car: Format and Free Template
A buyer walks into your dealership, likes a car, and wants to hold it while they arrange the money. You agree. They pay a booking amount, you give them a handshake, and they leave. That handshake needs to be a document.
A token advance receipt (also called a booking receipt or advance receipt) is that document. It protects both you and the buyer by recording exactly what was paid, for which vehicle, and on what terms.
What is a token advance?
A token advance (also called a booking amount or advance payment) is a partial upfront payment a buyer makes to:
- Reserve the vehicle so the dealer does not sell it to someone else
- Signal their intent to complete the purchase
It is not the final sale. No ownership transfer happens at this stage. The full car invoice and sale letter come later when the balance is paid and the car is handed over.
Why a receipt matters
Without a written receipt:
- The buyer has no proof of what they paid
- You have no record of what you agreed
- If either party pulls out, there is nothing in writing about whether the advance is refundable
- The vehicle's booking price, condition, and deadline are unrecorded

What the receipt must include
Dealer details
- Dealership name, address, phone, and GSTIN (if registered)
Buyer details
- Full name, address, and phone number
- Identity reference (Aadhaar/PAN number) for higher-value advances
Vehicle details
- Registration number
- Make, model, variant, year
- Colour and odometer reading at the time of booking
- Chassis number (strongly recommended: confirms it is the exact vehicle)
Advance payment details
- Amount received in figures and words
- Mode of payment (cash, UPI, bank transfer, cheque)
- UPI reference number or cheque number if applicable
- Date of payment
Booking terms
- Agreed total sale price (fix this at the time of booking to avoid price disputes later)
- Balance payable on delivery
- Deadline for balance payment and delivery
- Refund policy: is the advance refundable if the buyer cancels? Fully, partly, or not at all?
- What happens if the dealer sells the car to someone else (rare, but specify the dealer's obligation to refund in full)

Common mistakes dealers make
Not fixing the sale price. If you do not write the agreed sale price on the receipt, the buyer can later claim you quoted a lower figure. Fix the price in writing at the time of booking.
No cancellation clause. A receipt with no refund terms leaves both parties guessing. Write it explicitly: refundable, non-refundable, or conditional.
No delivery deadline. Without a date, a buyer can string a booking along indefinitely. Specify when the balance must be paid.
Accepting cash with no reference. For UPI or bank payments, always record the transaction reference number on the receipt. It is your proof the money arrived.
How it connects to the final invoice
When the buyer returns to pay the balance and take delivery, the advance flows into the final car invoice:

The invoice, sale letter, and delivery note are all issued at the time of final delivery and handover. The advance receipt is the pre-delivery record that sits in your deal file.

Every deal should have its own folder or record: advance receipt, then the invoice, sale letter, delivery note, buyer undertaking, and copies of Form 29 and Form 30. That complete set is what protects you if anything is disputed months later.

Does the token advance affect the final invoice?
Yes. The advance is deducted from the total sale price on the final invoice. The invoice shows the full agreed price, the advance already received, and the balance payable on delivery.
