What goes into a car delivery note

A car delivery note is the document that proves a buyer actually took possession of a vehicle, on a specific date, with its keys and papers. It is separate from the invoice: the invoice bills the price, the delivery note confirms the handover. Car dealers and private sellers both use it to draw a clear line for when responsibility, including post-sale traffic challans, passes to the buyer.

A complete delivery note covers four things:

• Vehicle details. Registration number, make and model, chassis and engine numbers, odometer reading at handover.
• Seller and buyer details. Names, addresses, and the buyer's phone number.
• What was handed over. RC, insurance certificate, PUC certificate, service booklet, tool kit, and the number of key sets.
• Signed acknowledgement. Both parties sign, confirming the vehicle was inspected, accepted, and that liability now sits with the buyer.

Why car sellers use a delivery note separately from the invoice

Insurance claims, traffic challans, and disputes over a car's condition all hinge on one question: who had custody of the vehicle on a given date. An invoice records the sale price and transaction date, not necessarily the physical handover date, which can be different if a buyer collects the car days after payment. A signed delivery note closes that gap with an explicit date, time, and signature from both sides, and backs up your position on who is liable for a car after it's sold.

For dealers running several car sales a week, keeping a signed delivery note on file for every sale is a small habit that avoids a real cost: being asked to prove a car left the showroom on a date the buyer disputes.
