Used Car Bill of Sale Template: Every Field Explained (Free Format)

A bill of sale is only as good as the details on it. One wrong digit in a chassis number or a missing signature line can stall an RC transfer for weeks. This is a field-by-field template for a used car bill of sale in India (usually titled a sale letter or vehicle sale agreement), with the reason each field exists.

The template, section by section

1. Parties

• Seller: full name, complete address, phone. For a dealership: trade name, address, GSTIN.
• Buyer: full name, complete address, phone, and ID reference (Aadhaar or PAN) for high-value sales.

The buyer's name must exactly match the ID that will go on the new RC. "R. Kumar" on the bill and "Rajesh Kumar" on Form 30 creates avoidable questions at the RTO counter.

2. Vehicle identification

• Registration number
• Chassis number (VIN): 17 characters, copied from the RC book, never from memory
• Engine number
• Make, model, variant, year of manufacture, colour, fuel type
• Odometer reading at handover

The chassis and engine numbers are the vehicle's fingerprints. They must be identical across the bill of sale, the invoice, Form 29 and Form 30, which is exactly why generating all four from one entry beats typing them four times.

3. Price and payment

• Sale price in figures and words
• Payment mode: cash, bank transfer, cheque (with reference numbers)
• Any advance received earlier, and the balance settled at delivery

4. Condition and warranty clauses

• As-is, where-is: the buyer has inspected the vehicle and accepts it in its present condition
• Ownership warranty: the seller declares clear ownership, no pending loan or hypothecation (or discloses it), and the right to sell
• Liability cutoff: from the date and time of delivery, all challans, taxes and liabilities pass to the buyer

That last clause is the seller's most important line. Fines and legal notices follow the RC, so the bill of sale should timestamp exactly when responsibility moved.

5. Delivery and documents handed over

Record the delivery date, place, and the checklist handed to the buyer: original RC, valid insurance, PUC certificate, both keys, owner's manual and service records.

6. Signatures and witnesses

Signature blocks for the seller and the buyer, plus two witnesses with names and addresses. Execute two originals, one per party. Stamp paper or notarisation is optional but adds evidentiary weight; see our full explainer on the bill of sale in India.

Common mistakes that break the document

• Chassis number typos (the number one cause of RTO rejection)
• Leaving the price blank "to fill later"
• No odometer reading, opening the door to tampering claims
• Only one original, signed by one party
• Forgetting the hypothecation disclosure on financed vehicles
