The template, section by section

1. Parties

The buyer's name must exactly match the ID that will go on the new RC. "R. Kumar" on the bill and "Rajesh Kumar" on Form 30 creates avoidable questions at the RTO counter.

2. Vehicle identification

The chassis and engine numbers are the vehicle's fingerprints. They must be identical across the bill of sale, the invoice, Form 29 and Form 30, which is exactly why generating all four from one entry beats typing them four times.

That last clause is the seller's most important line. Fines and legal notices follow the RC, so the bill of sale should timestamp exactly when responsibility moved.

5. Delivery and documents handed over

Record the delivery date, place, and the checklist handed to the buyer: original RC, valid insurance, PUC certificate, both keys, owner's manual and service records.

6. Signatures and witnesses

Frequently asked questions

Do I need witnesses on a used car bill of sale?

Witnesses are not mandatory under any central rule, but two witness signatures are standard practice in India and significantly strengthen the document as evidence. Most dealer sale letters include name, address and signature lines for two witnesses.

Is the odometer reading required on a bill of sale?

It is not legally mandated, but recording the exact odometer reading at handover protects both sides. It fixes the vehicle's condition at the moment of sale and prevents later disputes about usage, servicing claims or tampering allegations.

Who keeps the original bill of sale?

Prepare at least two originals, one for the buyer and one for the seller, each signed by both parties and the witnesses. The buyer needs a copy for the RC transfer and insurance; the dealer keeps one for records, which under GST rules must be maintained for at least 72 months.

Can I use the same template for a two-wheeler or commercial vehicle?

Yes. The structure is identical; only the vehicle class and identifiers change. For commercial vehicles, also record the permit and fitness certificate details, since those transfer separately.
